COVID-19 / Sanitary & Security Measures

| Show Admission Policy

Responding effectively to the risks of Covid-19 is a shared responsibility and RX France ask all participants to play their part in ensuring that the show remains as safe as reasonably practicable. 

In this respect, RX France will communicate to all attendees that a person should not attend the show if the individual is showing signs as set out below. 

In general, do not attend the show if the person: 

1- Is showing COVID-19 symptoms such us but not limited to: fever or a feeling of fever (chills, hot-cold), cough, shortness of breath or difficulty breathing, unusual fatigue, sore throat or headache, loss or change in smell or taste.

2- Have tested positive for COVID-19 in the last 7 days.

3- People coming from an "orange" or "red" state or country could be isolated on their arrival in France and / or on their return to their state or country of origin. Please, visit:  https://www.gouvernement.fr/info-coronavirus/ressources-a-partager#section-b3152 , for more details.

Our onsite medical team will respond to anyone displaying COVID-19 symptoms (24/24) in line with the directions issued by the relevant authorities. 

The individual should reconsider attending the show if the individual is a vulnerable person at risk of developing a severe type of Covid-19 infection, particulary if  the person suffers from an underlying health condition. 

Our Safety Guidelines are based on Reed Exhibitions’ 5-Point Plan and have been prepared in conjunction with the venue owner and the relevant authorities and in accordance with the relevant regulations, including Law n° 2020-856 of July 9, 2020 and Decree No. 2021-699 of June 1, 2021, amended by Decree No. 2021-1059 of August 7, 2021 . We would ask you to comply with all safeguards and precautionary measures. Anyone not complying will be requested to leave the show in accordance with Article 5 of our Rules.”[art. 32 for ex REF applicable for exhibitors] our regulations.

| Venue

The health and safety of our visitors, exhibitors , partners and staff  remains our top priority. Our “ Safe Events / Safety Shows ” strategy, as well as our 5 point plan for health and safety, continue to evolve in order to improve and adapt to the evolution of the pandemic by focusing on:

Respecting and improving these standards, when necessary, are at the heart of our strategy and our offer in terms of safety and security in response to the Covid-19 pandemic.

The measures have been defined in accordance with the sanitary standards of the event industry, the Reed Exhibitions standards and OMS recommendations. They are likely to evolve depending on the updates of government recommendations and the situation related to the pandemic. Please, refer to the communications on our shows websites to monitor the progress of these measures and comply with the instructions.

A protocol defined around 4 axes:

Physical Distancing

- 1ml (linear metre) of distance between each person in all exhibition halls queuing areas

- 1 per / 1.5m² in seated catering

- Two-way traffic with markings on the ground in the exhibition areas / and unidirectional (one-way) for entrances and exits of the Palace

- Transparent protection (plexiglass) in several customer contact areas: (registration, clubs, information points), etc.

Medical Plan

- Wearing surgical masks is mandatory

- Medical intervention plan defined with qualified medical support team

- On-site monitoring, including additional medical facilities (isolation area)

- A dedicated medical team reinforced and available 24/24 during the opening of the show (face-to-face during show hours and on call outside of show hours)

- Formalisation of a protocol for the management of suspicion of COVID cases

- New guidelines for suppliers and decorators.

Logistics Plan

- Modified entrances / exits to simplify traffic and reduce flow crossings

- New badge scanning protocols

- Creation of open spaces for exhibitors in exhibition halls

- Reconfiguration of customer areas: layout and furniture, flow management, increase in the size of areas

- Event planning reviewed

Health Plan

- Establishment of a continuous cleaning and disinfection programme for all spaces

- Hand sanitiser dispensers (entrances and halls)

- Cleaning of conference rooms between sessions

- On-site inspections carried out in accordance with all established protocols

Below is an overview of some of the standard safety measures we are implementing at the Palais des Festivals and all of our event venues throughout Cannes. 

- Wearing a  surgical mask (such as FPP2) will be mandatory for all participants in the Palais and the Palais grounds. Participants must supply their own masks 

- RX France will regulate traffic flow and capacity across the exhibition 

- Hydro alcoholic gel will be available during the market 

- Daily disinfection of high-use areas will be reinforced 

- Medical service available 24/24 during show days 

- Reinforced safety checks on food hygiene

The Palais des Festivals and Congresses of Cannes received the international certification GBAC STAR . This certification by an independent body attests to the good implementation of sanitary measures in the face of the Covid-19 risk, reinforcing the protocols in terms of cleaning, disinfection and prevention of infectious diseases.

Also, The RX France “COVID-19 Management Response Plan” and the sanitary protocol associated with the show have been certified “COVID Compliant” by SAFE ASSET GROUP.

This certification, by an independent body, attests to the proper implementation of health measures according to the international “SHORE” standard (SAFE Hospitality, Office, Retail, and Environment standard).

We are in permanent contact with the health and local authorities. While the situation is still complex today in some countries, vaccination programs are accelerating and giving us confidence that our events will be held.

| Venue - Registration

We will encourage everyone to print their badge credentials in advance. Registration will be open onsite and physical distancing will be respected.

| Venue - Traffic Flows Exhibition Hall / Conferences / Events

EXHIBITION HALL*

- Exhibitors will be asked to respect all physical distancing and hygiene guidelines issued by RX France and government authorities. 

- In all areas of the event, physical distancing of one metre between attendees will be implemented.

- Trade show opening hours will be moved forward by 30 minutes. Exhibitors can access the Palais earlier if needed (on request).

- The air conditioning system of the Palais des Festivals is regularly maintained and certified by an independent body. In addition, the P-1 air handling units were replaced this summer.

CONFERENCES & EVENTS

- We will use a limited number of conference rooms for 2021.

- Conference and screening rooms will be disinfected after each use with a minimum of 30 minutes in between use.

Maximum capacity will be based on current French Fire Safety regulations. For the Palais des Festivals this means 1person/m²

| Venue - Traffic Flows Clubs & Lounges

All clubs will be designed with physical distancing requirements in mind.

We are reviewing the location and operations of these critical meeting spaces to offer the best safety and hygiene conditions possible.

| Venue - Stands

RX France, the Palais des Festivals management and the Semec are working in tandem to help you make the most of the exhibition. Together, in partnership with our exhibitors, and all participants, we can stage the event safely. 

RX France is not requiring exhibitors to make major design changes to stand decoration, furnishings or layout. However, depending on decoration plans, exhibitors will be responsible of their compliance with  the safety and hygiene protocols laid out in this document. 

Some measures are MANDATORY and must be implemented on stands. Other measures are RECOMMENDED guidelines to be adopted.

MANDATORY MEASURES*

│ Plan your stand with sufficient space to ensure that physical distancing guidelines are respected during activities on the stand. Avoid unnecessary bottlenecks 

│ Respect maximum capacity on your stand of one person per m²  (1per/m²), including guests and staff 

│At the reception desk, install a transparent protective screen (PVC) to protect welcome staff members and stand visitors 

│Organise removable furniture (tables/chairs) so that physical distancing guidelines are respected (1 metre apart) 

│ In meeting areas with fixed seating, ensure a minimum distance of 1m between each person is respected. If a 1m minimum distance cannot be kept in specific areas, other measures such as transparent protective screens in seating areas are an alternative solution 

│ Provide sanitising hand gel dispensers at the entrance to the stand and in seating areas for your staff and for visitors 

│ Signage: Inform your stand visitors, via signage, of sanitary and physical distancing measures that you have implemented 

│ Communicate these measures to your stand construction company to ensure that the specifications are adequately taken into account 

│ Each exhibitor must provide or make available protective face masks to all employees 

│ Surgical face masks must be worn by all stand employees, contractors, stand guests and hired temporary help during all times on the stand, including during build up and break down 

│ When off your stand, surgical face masks must be worn by all exhibitor employees and contractors throughout the exhibition hall and any location in the Palais des Festivals (both inside the venue and outside the venue on the Palais grounds)

RECOMMENDED MEASURES

│ Where possible, create one-way traffic flow on the stand via floor signage 

│ Frequently clean, with disinfectant wipes, contact surfaces such as counters, tables, showcases etc. after each visitor visit. Additional daytime and/or evening cleaning services may be ordered from the venue 

│ Limit to a minimum the distribution of printed marketing material (brochures etc.). We recommend digital marketing collateral when and where possible 

│ Limit distribution of sweets or other giveaways from containers. The distribution of such items to employees staffing the stand is possible as long as the hygiene regulations are observed

│ A 6 day build up schedule will be implemented. 

│ Build-up will be possible during this period to ensure stands are delivered on time.

│ All stand services will be operational. RX France will provide updates to exhibitors regarding access to services based on physical distancing and hygiene guidelines.

│ These service providers will adhere to government hygiene guidelines and will be monitored onsite │ Exhibitors may continue cooperating with official caterers of your choice.

│ Respect the general hygiene requirements for serving and storing food that you provide yourself. Details are available in the Exhibitors Technical Guide.

│ Cocktails on stands will still be possible as long as physical distancing and sanitary regulations are applied (individual portions, floor signage in front of the buffet etc…).

│ Self-service is not permitted for cocktails (cookies, candies…).

│ All the food must be served by dedicated staff wearing gloves and masks.

| Safety/Hygiene Requirements

- In regards to the Janssen vaccin: 28 days after the administration of a single dose

- In regards to the other vaccines (Pfizer, Moderna, AstraZeneca), 7 days after the administration of a second dose, except for people who have been infected with Covid-19, for whom this period applies after the administration of the first dose.

Each of these certificates is encoded and signed in the form of a QR Code. They can be presented in paper or digital format, saved on the “TousAntiCovid” mobile application or any other digital tool of the choice of the person concerned.

The French sanitary pass complies with the “EU Digital COVID Certificate”.

The European Medicines Agency has so far granted approvals to the following vaccines: BioNTech and Pfizer, Moderna, AstraZeneca and Janssen Pharmaceutica SA.

| What will be the sanitary measures adopted by CANNES?

Covid clause does not apply as no quarantine is asked to arrivals from France upon proof of vaccination or recovery from an infection : please refer to your governmental regulations based on the European Council recommendation on travel measures within the EU last updated on 24 June 2021 (https://www.consilium.europa.eu/fr/policies/coronavirus/covid-19-travel-in-the-eu/).

obtained ACI Health Accreditation, which

validates their efforts and the measures

implemented across the airport.

l Cleaning and disinfection: Commissioning

of an autonomous anti-bacterial mobile robot.

l Reinforcement of cleaning teams with the protocol used in

hospitals.

l Provision of hydro alcoholic gel distribution terminal

(departure halls-check in and boarding-, baggage, filtering and

arrivals area).

l Installation of air purifiers in toilet areas.

l Installation of filters for ventilation.

l Air duct cleaning multiplied by three.
 

Health & Safety:

passengers indicating measures

Commitment to the implementation of the UMIH health protocol (Union of Hotels). To date, the sanitary measures are the following (these measures are likely to evolve depending on government recommendations):

l Physical distancing.

l Face mask wearing for the staff.

l Digitalization of check-in and check-out procedures.

l Increased cleaning operations.

l Limit the number of people allowed per elevator.

l Reinforced rooms cleaning and disinfection protocol.

l Breakfast service in compliance with health protocol (physical

distancing and mandatory wearing of face mask).

Food establishments are taking all the appropriate precautions as per government and hotel management guidelines. Below is an overview of some of the standard safety measures implemented :

Upon Restaurant entry:

│ Respect physical distancing rules applicable in the venue at the time of the event 

│ Hand washing with the hydro alcoholic solution available at the entrance

│ The toilet facilities will be disinfected several times a day and disinfectant wipes are available

l Face mask wearing for the staff.

Means of payment:

│ Respect one-meter distance from other customers and teams

│ Hand sanitising with the alcoholic solution available on the counter

│ Contactless payment expected to be widely available
